Terms and conditions and privacy policy
Terms and conditions
1. Purpose.
GAIA NET ZERO is a software-as-a-service (SaaS) platform for recording, calculating and reporting the greenhouse gas (GHG) inventory of the user company, in line with the principles of the GHG Protocol and ISO 14064-1.
2. Accuracy of data.
The user company is solely responsible for the accuracy, completeness and truthfulness of the activity data, receipts and documentation it uploads to the platform, including data pre-filled by the artificial intelligence assistant, which in all cases requires human confirmation before being saved. The platform does not verify the reported activity on site.
3. Nature of the calculations.
The emission factors used come from recognized public sources (IPCC, GHG Protocol, official bodies of the relevant country) and are identified with their source in each category. Results are an estimate based on the data uploaded by the company and do not replace a formal external verification or audit when required by a regulator, certification body or commercial counterparty.
4. Free initial stage, paid plans and subscription
4.1 Initial stage. During the initial stage, GAIA NET ZERO lets you start measuring your carbon footprint at no cost and with usage limits (for example, on the number of sites, records, users or available features). Being free is a temporary promotion and is not an obligation to keep the service free of charge or with the same characteristics.
4.2 Move to paid plans. GAIA NET ZERO may, at any time, end the free stage, change its limits and introduce paid plans. Plans and their prices may vary according to each company's size, sites, users and needs, and may be agreed on a custom basis. Prices and conditions will be communicated to the user company before being charged; no charge will be made without its express acceptance.
4.3 Prior notice. The end of the free stage or changes to limits will be communicated by email and within the platform at least 30 days in advance.
4.4 What happens if no plan is contracted. If the company does not contract a plan when the free stage ends, its account may switch to view-only mode: it will be able to view and export the information already uploaded, but not upload new data or use the features included in paid plans until it activates a plan. The company's information is not deleted for this reason.
4.5 Cancellation. The user company may stop using the service whenever it wishes by requesting it from the platform administrator. Paid plans are contracted per plan and period, and their renewal and cancellation are managed from the account or by request to GAIA NET ZERO.
5. Limitation of liability.
The platform will not be liable for commercial, regulatory or business decisions made on the basis of the generated reports, insofar as these depend on the quality of the data provided by the user company.
6. Misuse and account suspension.
The platform reserves the right to suspend or terminate, with or without prior notice, any account that uploads false or tampered data, or data manifestly not matching the company's real activity, that impersonates another person or company, or that uses the service fraudulently or contrary to its stated purpose. This measure aims to protect the integrity of the platform's reports toward the auditors, banks, clients and regulators who rely on them.
7. Changes to these terms
GAIA NET ZERO may update these terms, especially regarding plans, limits and prices, informing user companies of relevant changes in advance. Using the service after the changes take effect implies acceptance; if the company disagrees, it may stop using the service.
Privacy policy
1. Data we collect.
Account data (email, name), company data (legal name, tax ID, address, industry, location), contact details of people linked to the account, and the documents/receipts the company uploads as evidence (which may contain personal data of third parties, such as suppliers).
2. Purpose.
Data is used exclusively to provide the service: authentication, GHG inventory calculation, report generation, and account-related communication. Uploaded documents are also processed by an artificial intelligence assistant to suggest the category and quantity of the activity data — that suggestion always requires human confirmation before being saved.
3. Safeguarding.
Data is stored with per-company access controls (row level security), so no company can see another's data. Documents are kept in a private bucket with restricted access.
4. Third parties — artificial intelligence processing.
To read receipts, migrate historical data and answer questions about your own inventory, the platform uses an artificial intelligence provider (Anthropic). The specific content processed in each case (the attached document, or a numeric summary of your inventory) passes momentarily through that provider to complete the requested task, in the same way any cloud service processes data to deliver a feature. Anthropic does not use this data to train its models or for any purpose of its own, and does not access the data of other companies on the platform. This processing only happens when the company uses a feature that requires it (AI upload, migration or data chat) — manual data upload never goes through this process.
5. Data subject rights.
Under Argentina's Personal Data Protection Law No. 25,326, the data subject may request access, rectification or deletion of their personal data by contacting their account administrator.
